Secretary of the condo board is responsible for ensuring meeting minutes are maintained – Section 18(d) of the Condo Act.
Once an initial draft has been prepared it should be distributed to board members for review.
Any director can propose revisions to the draft. Final meeting minutes are approved by the board at a properly called board meeting where a quorum is present. Approval can be for original meeting minutes or incorporating suggested revisions. No single board member has authority to make changes to meeting minutes without board approval.
Best practice when preparing meeting minutes is to only document actions. Topic summaries and details are not generally included in minutes.
